Registration

Deadlines

Registration begins : 06/2024

Registration ends : 01/08/2024 or when the conference is fully booked (possibly extended to 18/08/2024). Please note that registration for the conference dinner ends on 31/07/2024 or when it is fully booked.The conference dinner is now fully booked. If you are interested in attending, please check with the Registration Desk during the conference to see if a seat has become available.
 

Fees

  • Student : CHF 30.-
  • Regular : CHF 40.-

Conference fee covers : 

  • Attendance at the conference (September 6-7)
  • Roundtable (September 6)
  • Workshop (September 7)
  • Welcome pack
  • Lunches and coffee breaks according to the programme

The conference dinner is sponsored. However, the number of seats is limited. Kindly confirm your attendance or notify the committee promptly if you need to cancel, allowing us to accommodate participants on the waiting list. 

The fee covers the entire duration of the conference. It is not possible to register for only one day or half a day.


Cancellation 

  • For cancellations received by 31.07.2024 (23:59 CET) : 100% of the registration fee minus a 15% processing fee will be refunded. 
  • For cancellations made after this date or for no-show: no refunds will be made. 

Requests for refunds must be sent to rpflc24@edufr.ch. The committee reserves the right to consider exceptions in justified cases of hardship.


Programme

The organisers might have to change the conference content and timing of the programme, the speakers, the venue of the conference dinner at any time prior to the conference. In that case, attendees will be notified. Should they consequently decide to cancel their registration, the organiser will not be responsible nor liable for any costs and/or expenses that may result from the cancellation of their registration.

Attendees will receive access badges and tickets with their welcome pack on site.


Registration confirmation

Attendees' participation at the conference will be confirmed by e-mail once payment has been received. 

 

Travel and accommodation

Attendees are responsible for their travel and accommodation arrangements. A limited number of rooms has been pre-reserved. You will find more information here: Travel and accommodation

Payment

Only credit card payments are accepted at the time of registration. The following credit cards are accepted: Mastercard and Visa. The payment will be made over a secure platform. The organisers have no access to the data. 

Payment is only valid once the amount due has been received in full. The registration is not valid if the amount is received late, only partially or incompletely or without indication of attendee's full name. If full payment has not been received before the beginning of the conference, participation will be cancelled. For presenters, registration is only valid if the full amount is received by 7 June. 

Transfer of copyright

By submitting an abstract, the author transfers to the organiser, without financial compensation and permanently, the right to use the submitted material in any form and using any data carriers as follows :

  • For reproduction.
  • For further processing, in particular downloading, storage, and any form of electronic processing.
  • For distribution in all forms, in particular presentation at the conference, storage in a database or publication on the public conference website.

Photography 

By registering and/or by participating in the conference physically, attendees acknowledge that certain sessions and/or social functions may be photographed (crowd shots or individuals) and that some of these photos can be used for different purposes including without limitation news, illustration, information and dissemination activities. Consent will be sought from identifiable persons. 

Abstract submission

By submitting an abstract, authors warrant that the work is original and that they are the author. If the work contains material from other authors, they confirm they have the necessary rights to use that material. In the case of collaborative works with multiple authors, the person who submits the abstract acts on behalf of all authors with their consent.

Data protection

For conference management purposes, the hosting organisation stores the following personal information:

  • Name of all participants
  • Addresses and email addresses of all participants
  • Department / affiliation
  • Food preferences / restrictions

The data is accessible only to the conference administration and are used for a) communication regarding the conference, b) for administration of the conference and c) for statistical purposes.

The data is stored digitally during the conference and for another 12 months, or until the administrative closure of the conference.

  • Attendees' rights: data correction, data limitation, revocation of consent, and deletion of data. Complaints are communicated to the contact person for RPFLC24 data management: audrey.bonvin01@edufr.ch.

Liability 

The organisers will not be liable or responsible for any failure to perform, or delay in performance of, any of its obligations under these terms that is caused by events outside its reasonable control ("Force Majeure event") or if programme changes become necessary due to cancellations by speakers. In such circumstances the hosting organisation may not reimburse any paid fees.


Damage, loss, theft, accident, illness

The organiser will not accept any liability for damages of any nature sustained by participants or their accompanying person. Attendees should make their own arrangements regarding their own medical, travel and personal insurance. 

The organisers disclaim any responsibility regarding food allergies and advise attendees with food allergies to take necessary precautions. 

 

Update of terms and jurisdiction

These terms are effective from 23.04.2024 and shall apply to the registration for and/or participation in the conference. The organiser may update these terms at any time. Any dispute, claim or controversy arising out of, connected with or relating to the conclusion, validity, interpretation or performance of these terms will be under the exclusive jurisdiction of the competent courts of the Canton of Fribourg, Switzerland.
